How we respond to data requests

We may need to clarify your request. We'll let you know if the data is available and when. We'll help you get the data in a way that works for you.

We may need more details

We may contact you to:

  • Ask for more details to help us fulfill your request.
  • Let you know that your request may involve a charge or pre-payment.
  • Discuss how long it will take to deliver all or part of your request.
  • Have you pick your most urgent request, if you or your organization have several open requests.

Our response

We will complete your request in one of these ways:

  • If we do not have the data, we will notify you in writing as soon as possible.
  • If we have the data, but it is not public, we will notify you and cite the legal reason why as soon as possible.
  • If we have the data, and it is public, we will respond to your request within a reasonable amount of time.
  • If we have a large amount of data, we will send you one batch and confirm you’d like more before reviewing and sending the rest.

Updates on your request

We will provide updates by email. In addition, you can check the status of your request

First login, then click on My Requests to:

  • Check on the status of your request
  • Contact us about your request
  • Download the data

How you'll get your data

You'll receive an email with a link back to our request system, where you can download the data.  Or, you may use one of the following options:

  • If you want us to mail you the copies, you will need to provide us with an address.
  • We can provide electronic copies by DVD or flash drive for a fee.
  • We can also fax information to you, if you provide a fax number.
  • You may choose to pick up copies of your data.

You have the right to look at any public data the City keeps at no charge. If that how you'd like your request, we'll arrange a date, time, and place to inspect the data for free.

Help understanding the data

The City uses a lot of technical terminology, abbreviations, and acronyms.

If you do not understand the data, please contact us.  We can help you understand the data.

Some data is not available

We are not required to create or collect new data if the City does not already have the data.

We are not required to provide data in a specific form if we do not keep the data in that way. For example, if the data you request is only available on paper, we are not required to create electronic documents.

If we agree to create data in response to your request, we will work with you on the details of your request, including cost and response time.

Further, we are not required us to answer questions that are not requests for data.
